Benguela Cove Booking, Cancellation and Refund Policy

Effective Date: 1st September 2025

1. What This Policy Covers

This policy applies to: 

  • Musical events and concerts 

  • Wine tasting experiences (tastings, pairings, vineyard safaris, blending experiences) 

  • Ticketed dining events (Christmas, New Year's Eve, Heritage Day, special dinners) 

  • Activities (pontoon cruises, nature walks, workshops, sip and paint) 

  • Special seasonal events and festivals 

  • Regular restaurant bookings at Moody Lagoon or Blackbeard's Diner

  • Group bookings & private tours 

2. Booking

Book via website, email (info@benguelacove.co.za), or phone (087 357 0637

Full payment required at time of booking 

Booking confirmed when payment received and confirmation email sent 

Some experiences require advance booking (e.g., 48 hours for wine blending)  

Communicate dietary requirements and accessibility needs when booking

3. Ticket Transfers 

Tickets are freely transferable to other guests without notification, except when: 

  • Dietary requirements or allergies were specified 

  • Accessibility accommodations were arranged 

  • Age-restricted events 

  • Personalised experiences (e.g., custom wine labels) 

  • For these cases, notify us 48 hours before the event via email 

4. Cancellation & Refunds

All cancellations must be made in writing to info@benguelacove.co.za  

Standard Events 

  • 14+ Days before: Full refund minus 10% admin fee 

  • 8-14 Days before: 50% Refund 

  • 7 Days or less: No refund 

  • No-show: No refund 

 Premium Events (New Year's Eve, Christmas, exclusive experiences) 

  • 21+ Days before: Full refund minus 15% admin fee 

  • 15-21 Days before: 50% Refund 

  • 8-14 Days before: 25% Refund 

  • 7 Days or less: No refund 

  • No-show: No refund 

Refund Processing 

  • Processed within 10-14 business days 

  • Refunded to original payment method 

  • May take additional 5-10 days to reflect in your account 

5. If Benguela Cove Cancels 

If we cancel an event, you'll receive: 

Full refund, OR 

Transfer to alternative date/similar experience 

Weather Cancellations: We'll reschedule when possible. You may choose a full refund or transfer to the new date. 

6. Changes To Your Booking 

Date Changes 

  • One free change if requested 14+ days before original date 

  • Changes within 14 days: R200 fee 

  • Subject to availability 

Quantity Changes 

  • Reducing tickets = partial cancellation (cancellation terms apply)

  • Adding tickets = subject to availability and current pricing 

7. Special Circumstances

Medical Emergencies/Family Bereavement: With supporting documentation (medical certificate, death certificate), we may offer a refund or transfer at management discretion. Request within 7 days of scheduled event. 

8. Important Reminders

  • Arrive on time - late arrivals may result in reduced experience or denied entry without refund

  • Age restrictions apply to certain events - ID may be required

  • Responsible behaviour - we reserve the right to remove disruptive guests without refund

  • Children remain the responsibility of parents/guardians at all times

  • No professional photography/recording without permission

  • Must be 18+ to consume alcohol

9. Dining Booking Policy

  • A service fee of 12% will be added for tables of 6 and more. 

  • We require a R150 deposit per person to be paid to secure your booking, especially between November - January. 

  • For bookings of 8 or more guests, you can tailor your menu options in advance. 

  • We know the unexpected happens, if you are running late, please let us know so that we can update your booking. 

  • No shows/late cancellations: if we have not heard from you and you are more than 30 minutes late, we will have to free up the table you reserved for other diners. 

  • Walk-in diners will be served as they arrive. 

  • For live music during brunch service and Sunday lunch, a cover charge applies. 

  • For Sharing lunch, booking 24 hours in advance, and deposit required to confirm reservation. 

  • R300 Cakeage fee applies. 

10. For Groups, Events and Venue Hire 

A 50% deposit is required to make a booking and the remaining 50% balance is required 30 days before arrival. 

11. Cancellation Policy Group Bookings and Private Tours (+10 guests):

For groups of 10 or more people, free cancellation applies up to 7 days before departure.

Cancellations or changes received less than 7 days before tour, 100% cancellation fee will be charged.

13. Legal

Benguela Cove reserves the right to amend this policy at any time. 

Bookings are subject to the policy in effect at time of booking. 

Management decisions on refunds and cancellations are final. 

All disputes subject to South African law.
